POLICIES AND PROCEDURES At Arya Spa & Wellness, we pride ourselves on offering the best care to our clients. Please make yourself aware of our company policies and procedures. Our policies have been designed to ensure you have an enjoyable experience with us.

BOOKING APPOINTMENTS You can currently book appointments online at our website under Booking, however you will be sent a confirmation either by email or by a phone call from the Staff. Alternatively please call us at 905-230-4449 to book, change or cancel appointments. A Credit Card is required in case of direct billing.

When booking an appointment, please indicate if you have any requirements for a male or female therapist.

PAYMENT INFORMATION We accept MasterCard, Visa, Cash, gift cards from ARYA SPA & WELLNESS, Way Spa and Spa Finder. We do not accept personal checks. Way Spa and Spa finder gift cards cannot be used for purchase of RMT services.

GRATUITIES Tips may be paid in cash or charged to your credit card. The amount you leave is truly at your discretion. Tips cannot be paid using Way Spa or Spa Finder Gift cards.

ARRIVING LATE We respectfully request that you arrive 10 minutes prior to your scheduled appointment time. When booking services at ARYA SPA & WELLNESS, your appointment is scheduled with a therapist, whose time is allocated exclusively for your scheduled treatment. If you are late for a scheduled appointment, our therapist may have to shorten your treatment time as you are paying for the time you booked.

LOST OR STOLEN ARTICLE We regret that the Arya Spa & Wellness cannot be held responsible for any loss or damage of personal articles. We encourage all clients to keep their valuables with them at all times.

CANCELLATION POLICY/ NO SHOW POLICY We understand that occasionally you may have to cancel an appointment with us. We require 24 hours’ notice to cancel or change any single service appointment and 48 hours for multiple same day service appointments. If the required notice is not given, or the client does not show up for their appointment, the client may not be re-booked unless they prepay their next appointment. Likewise, we will also provide 24 hour’s notice if we have to cancel your appointment due to special circumstances.

BOOKING SPA PACKAGES OR MULTIPLE SAME DAY APPOINTMENTS Spa Packages or multiple same-day appointments (3 or more), will require a deposit of 50% at the time the package or services are booked. The deposit is non-refundable and can be paid by way of Visa or MasterCard. No other discount may be applied. Multiple same-day appointments, or spa packages, require 48 hours to reschedule or cancel.

REFUNDS Unfortunately, skin care products, and spa treatments and gift cards are non-refundable.

EXCHANGES When you purchase a course of treatments, you will receive a discounted price. Because of this discounted price, the payment is to be made at the beginning of your course. Unfortunately, these courses are non-refundable.

GIFT CERTIFICATES Our gift cards never expire, they are non-refundable and have no cash value. Gift cards may be used towards any treatment, service or product. They are transferable and may be forwarded to any other person, friends and families. Arya Spa and Wellness in not responsible for any lost or stolen gift cards. There may be a few caveats with redeeming a gift card for RMT massage services- we recommend you asking ahead of time.

WAYSPA AND SPA FINDER GIFT CARDS Please note that WAYSPA gift cards can be redeemed for regular priced SPA services and  treatments only, not redeemable on any other services, specials, promotions or package priced services. Can not be used for RMT services, tips or gratuity.

ATTIRE Robes and spa wraps are available for each client. However, if you wish you may bring a bathing suit or other attire for Body Treatments which require showering.

ARYA SPA & WELLNESS ETIQUETTE Inappropriate and rude behavior does not belong at a ARYA SPA & WELLNESS. The team at ARYA SPA & WELLNESS are dedicated, professional therapists and aestheticians who reserve the right to terminate treatments and services if guests are excessively intoxicated or make inappropriate comments, suggestions or advances to any member of the team.

ARYA SPA & WELLNESS GUEST POLICY FOR MINORS Skin and Body Treatments ARYA SPA & WELLNESS accepts guests 14 years old and above for all full service skin and body treatments including facials, massage, body scrubs and wraps. We require parental consent for minors under the age of 17 and require that they accompany the minor during the treatment. For guests under 14 years of age, treatment time may be reduced.

ARYA SPA & WELLNESS SPA PARTIES ARYA SPA & WELLNESS accepts well behaved for all spa parties.

SPECIAL MEDICAL CONSIDERATIONS ARYA SPA & WELLNESS has specially trained staff for most medical conditions. Please contact ARYA SPA & WELLNESS in advance if you are pregnant or suffer from a serious medical condition. Some treatments are not recommended for clients who have specific conditions. For your safety we require a doctor’s clearance before beginning treatment, particularly in the face of the following conditions:

• Cancer

• Cardiovascular conditions, including severe high or low blood pressure

• Swollen or painful lymph nodes

• Undiagnosed skin rash

• Acute injury of any kind

• Open sores

• Diabetes, particularly if the client is experiencing foot problems

• Blood Disorder and Disease

• Thrombosis

SCOPE OF RMT PRACTICE Our registered massage therapists (RMTs) are licensed professionals and held to the highest standards of the College of Massage Therapists of Ontario.

Massage Therapy is a profession in which the practitioner applies manual techniques and may incorporate adjunctive therapies with the intention of positively affecting the health and well-being of the client.

RESPECT FOR CLIENT NEEDS AND BOUNDARIES ARYA SPA & WELLNESS registered massage therapists are happy to adjust pressure, music volume, work longer on an area, or move on if you request. The client is allowed to choose to refuse any massage technique, stop the massage at any time, and is free to leave.

PROFESSIONAL BOUNDARIES Requests for sexual activity will not be tolerated and will be reported to the proper authorities. The client will not be rescheduled, if this occurs. The genital area will not be massaged under any circumstances. A professional distance will be maintained from these areas. Also, low back, hip & gluteal area will be massaged only upon request or with consent. Sexual interaction or discussion of any kind between the client and the therapist is NEVER appropriate.

CONFIDENTIALITY AND CONVERSATION The discussion between the registered massage therapist and the client is confidential. The client may or may not choose to talk during the massage. We are happy to listen to your conversation and share our professional expertise. We prefer not to discuss topics of a political, private or sexual nature.

INSURANCE RECEIPT POLICY We provides receipt for your treatment from a registered massage therapist (RMT) for insurance purposes. We are unable to offer insurance receipts for therapies paid for by a spa voucher or using Gift Certificates.

STARTING 2019 NEW BILLING PROCEDURES FOR RMT MASSAGES

We thank you in advance for your understanding and look forward to providing you with the Health Care Services you need!

• Starting 2019 all clients will need to be prepared to pay for each service at the time of their visit.

• Arya Spa & Wellness Spa & Wellness Centre will no longer be receiving any direct payments from your Insurance Provider.

• Claims can be submitted by Arya Spa & Wellness to the appropriate Insurance Provider to be processed for repayment to the client. You will not need to submit any forms to your Insurance Provider Please note that clients find fees processed faster if they send it in themselves.

• We are not responsible for prescriptions, doctors notes or any other insurance company requirement, that is solely for you, the insured, to deal with.

• Claims cannot be submitted after 30 days of provided service. We cannot change date of submission after the fact.

• Insurance companies will not give us information if your claim has been denied, you have to speak to them directly.

• Clients will pay Arya Spa & Wellness the full amount for their services at the end of their appointment(s) – We accept Cash, Debit, VISA, MasterCard.

• Payment will be received by the client in the amount that is outlined by their Insurance Provider. (100%, 80%, specific amount, etc.)

• The payment from the Insurance Provider can take up to 2 weeks, depending on the provider.
